Trip Design
First, we begin with the design of the trip agenda. Taking 7 days and 6 nights allowed for the attendees to get the most out of their time investment to travel to and from Bangkok. Building times of leisure each day with optional activities was important for the attendees to relax and enjoy each other’s company. Additionally, there were fixed evening events planned throughout the trip to foster connection between all the attendees. These evening gatherings included a Welcome Dinner, a Celebration Dinner to include awards and recognition, and a Farewell Dinner the night before departure.
Visual Identity
The Inner Circle logo was redesigned for this specific program, which included a lotus flower—a bloom cherished in Thailand for its beauty and spiritual significance. From hotel signage, to attendee gifts and amenity cards, this logo gave a sense of personalization and exclusivity to the trip.
Marketing & Collateral
The communication and marketing for this event began way before it came time to travel to Thailand. The custom-branded registration website served as the home base for information regarding the trip, from agendas and travel information, to activities, food, and hotel accommodations. In addition, attendees were all sent pre-mailers that gave information on the location as well as Thai-themed travel items, including a branded elephant neck pillow, pebble charger, and luggage tag.
Activities
Evening Events
There were three evening events staked throughout the week-long trip to bring everyone together. First, the Welcome Reception with immersive cultural activities, including a sarong tying experience and flower accessory making. Midweek, the winners of this trip gathered for a Celebration Dinner, honoring their hard work and contributions through an intimate night of awards and recognition, paired with authentic regional Thai entertainment. Lastly, the Farewell Dinner on the beach with the theme White & Light featured fairy lights, a fire show and a lively dance floor fueled by Rhythm Nation band.
Gifts
In addition to the pre-mailer gifts that attendees received in preparation for the trip, personalized gifts on site were also threaded throughout the 6-day agenda. Each attendee was given a total of 12 gifts, a few of which are shown below.
Community Giveback
Incorporating a CSR activity in the trip was a must for this particular client. For this year’s Corporate Social Responsibility activity, the attendees visited the Elephant Kingdom Sanctuary on the island of Koh Samui, where they helped caretakers prepare food and feed the elephants from a skywalk. This unique experience was a gift for the attendees as well as the Elephant Sanctuary.
